Getting started

When you are ready to get started adding team members to your group practice, you can follow these steps:

  1. Share the name and email address of your new team member with our team at [email protected].
  2. Our team will work with your new team member to get them in-network with insurance companies.
  3. We will let you and your new team member know when they are ready to begin seeing clients as part of your private practice on Fay!
  4. Your new team member will have their own Fay profile and will also appear on your Fay profile as a member of your private practice!

Payments

Fay will deposit all payments (for both your own appointments and your group practice members’) into your bank account. You will be able to see your payout history and payout breakdown, and your group practice members’ by selecting “Payouts” on the sidebar menu of Fay. You’ll see exactly how much revenue each member brings into the group practice, including a full breakdown by appointment. From there, you decide your team members' payment amounts, frequency, and methodology.

<aside> 💰 You have the ability to receive deposits from Fay into your business entity bank account instead of your personal banking account if you would like. This is entirely optional, but it may be advantageous from a tax perspective for us to send payments to your business entity vs. your personal account. You can update your pay details anytime in the “Payouts” section of your Fay account.

If you decide to switch to a business account from a personal account, we will reach out to you at the end of the year to provide assistance with splitting your tax forms. Please note that we are not tax experts and cannot provide tax advice, so we recommend speaking with a qualified tax professional to determine what's best for your situation.

Scheduling patients

Each member of your team will have their own Fay profile. This allows each provider to manage their availability and schedule directly within their Fay Calendar. Patients and Fay’s referral partners can discover each provider individually, review their credentials and specialties, and book with the provider who aligns best with their nutrition and scheduling needs. When a patient books an appointment, they do so through that specific team member’s profile. The appointment will then land directly on that provider’s calendar, to ensure accurate booking and seamless scheduling for your patients.

When a patient books an appointment with a provider on your team, best practice is to retain that patient with the selected provider rather than transferring them to someone else in your practice. This helps create the best possible patient experience, as the patient likely chose that provider for a reason.

Marketing

For marketing purposes, each team member also has a unique personal booking link that can be found on their Fay Homepage. It’s important to use and copy this specific link when creating marketing materials. If a patient books directly using a provider’s personal booking link, the appointment will be categorized as self-sourced. However, if a patient selects a team member from your Fay profile without using the personal booking link, the appointment will appear as sourced by Fay. Using the correct personal booking link in your marketing ensures accurate tracking of patient sourcing and gives you clearer visibility into where new patients are coming from as the practice owner.

Utilizing Score Boosters

Each member of your team has their own login to Fay, allowing individual management of schedules and patient appointments. This also gives each team member the ability to use the practice optimization score boosters as they see fit.

To offer on-demand bookings or free initial consultations, team member can click “Boost”, located on the Fay Dashboard and toggle the feature they’d like to activate. As a reminder, you can offer one, both, or neither, and you can turn them on or off at any time, giving complete control over how you and your team grow the practice.
